LeadPilot Privacy Policy

Last updated: September 13, 2026

LeadPilot helps contractors organize customer inquiries, customer records, and related business workflow data.

Information we process

We may process account and contractor business information, customer inquiry and contact details, service and pricing settings, messages deliberately submitted through a LeadPilot form or forwarded to a workspace receiving address, and billing identifiers.

How information is used

Information is used to provide lead capture, qualification, customer records, preliminary pricing, acknowledgements, summaries, account support, billing, security, and service improvement.

Email forwarding

LeadPilot does not request access to a contractor's Gmail account or mailbox. A contractor may voluntarily configure their email provider to forward selected quote, estimate, pricing, or service-request messages to a workspace-specific LeadPilot receiving address. LeadPilot receives and processes only messages sent or forwarded to that address.

For a forwarded inquiry, LeadPilot may process the sender, subject, message text, and business-relevant details such as requested service, phone number, ZIP code, timing, and inquiry details. Contractors control their forwarding rules and can stop future forwarding at any time by disabling or deleting the rule in their own email account.

Google account data

LeadPilot does not use Google OAuth to request Gmail data and does not receive Gmail API access tokens. Signing into LeadPilot is handled separately through LeadPilot's account provider and does not grant LeadPilot permission to read a user's Google mailbox.

Sharing and service providers

LeadPilot may use service providers for hosting, database storage, authentication, email delivery and receiving, and billing. These providers may process data only as needed to provide LeadPilot and are expected to protect that data consistently with applicable contractual and legal requirements. LeadPilot does not sell customer inquiry data or share it for advertising, data brokerage, or unrelated commercial purposes.

Customer and marketing data

Customer records belong to the contractor workspace. Promotional marketing should only be sent to contacts with appropriate consent, and unsubscribed contacts must remain suppressed.

Data retention and deletion

LeadPilot retains data for as long as reasonably necessary to provide the service, maintain security, meet legal obligations, and support billing records. Contractors may delete their account from Settings or request help at natureswaysoil@gmail.com. Account deletion removes tenant-scoped database records and uploaded project photos; certain limited records may be retained when required for security, legal, fraud-prevention, or billing purposes.

Security

LeadPilot uses server-side access controls, signed sessions, verified webhook requests, restricted database access, and other safeguards designed to protect user data. No internet service can guarantee absolute security.
